Reply to delivery questions without guessing a date

A public shipping question often needs a general answer; an overdue parcel needs an individual check. Separate dispatch time, transit estimates and order-specific information before you reply.

Facts to confirm first

Dispatch time, destination coverage, carrier estimate, cutoff time and the current shipping-policy link.

Example public reply

Hi! We dispatch orders within [handling time]. Delivery to [destination] usually takes [published estimate] after dispatch. You can check the options at [shipping page].

Replace bracketed fields with facts from your own policy before sending.

When the customer asks before buying

Give the estimate that applies to their destination and distinguish preparing the order from delivery after dispatch. If you do not know the destination, link to the shipping options or ask the minimum necessary question. Avoid asking for a full address in a public comment.

When the customer already ordered

A generic policy cannot explain where a particular parcel is. Acknowledge the issue, give the approved secure contact route and assign an owner. After checking the order, explain what is known and what will happen next.

Keep the answer current

Review saved replies when carriers, cutoffs or dispatch schedules change. During a launch, use the actual published notice for any delay. A friendly apology does not replace a concrete next action.

Avoid promising

Do not turn an estimate into a guaranteed arrival date. Do not claim you have checked tracking when you have not.

Escalate when

The promised window has passed, tracking is unclear, a parcel is missing or the customer needs an exception.

Prepare your own reply

Dispatch time, destination coverage, carrier estimate, cutoff time and the current shipping-policy link.

Paste only facts you have checked. Leave out customer names, order numbers and private details.
